Business travel to China from Kenya: a practical guide for companies and trade delegations

Business travel from Kenya to China is a logistics exercise before it is a travel booking. The trip usually combines a fair or exhibition, a set of supplier or factory visits in different provinces, and internal meetings - each with different city, timing and transport requirements.

This guide covers how we plan those programmes for companies and trade delegations moving out of Nairobi. It is written from operational practice, not from a destination brochure.

Start from the commercial objective, then build the route

A sourcing trip, a trade fair visit and a delegation programme are three different itineraries. Establish first which cities must be visited, which meetings are fixed and which are flexible, and whether the group must stay together throughout. Only then choose the routing - too many China programmes are booked around a fare and then bent painfully around the meetings.

Flight routing options from Nairobi

There is no shortage of one-stop routings from Nairobi into the major Chinese gateways via Gulf, Ethiopian and Asian hubs, and direct options appear and change with the season. What matters operationally is arrival time and connection resilience: an arrival before mid-afternoon lets travellers clear immigration, reach the hotel and hold a first meeting the same day, and a connection with adequate buffer protects the whole first day of a fixed-agenda programme.

Trade fairs and the Canton Fair

The Canton Fair in Guangzhou runs in phases across spring and autumn, with each phase covering different product categories. Two consequences follow. First, the phase determines the dates that are useful to your company - attending the wrong phase wastes the trip. Second, hotel rates and availability across Guangzhou tighten sharply during fair periods, so accommodation should be held well before flights are finalised. Other major fairs across Shanghai, Shenzhen, Yiwu and Beijing follow the same pattern on a smaller scale.

Hotel positioning matters more than hotel category

During a fair, proximity to the venue or to a direct metro line is worth more than a higher star rating across the city. For factory-visit programmes, position the group near the transport link to the industrial district rather than in the central business district. For delegations with formal engagements, position near the meeting venues and accept a longer transfer to the airport rather than the reverse.

Visa preparation

Chinese business visa applications require invitation documentation from the host company, fair or organiser, alongside standard supporting evidence, and requirements are revised periodically. Start the process well before the intended departure, confirm the current requirements at the point of application rather than relying on a previous trip, and for groups bundle applications by nationality with a single documentation owner. Passport validity and blank-page requirements catch out more travellers than the application itself.

Moving a delegation

For delegations, treat the China leg exactly as any other group movement: controlled manifest, arrival bands, coaches assigned per band, printed daily movement sheets and a coordinator travelling with the group. Language and local navigation make an unaccompanied delegation far more fragile in China than in a familiar regional market.

Factory and supplier visits

Factory visits are rarely in the same city as the fair, and often not in the same province. Confirm each site's exact address in Chinese characters, agree the visit window with the supplier in advance, and plan intercity movement by high-speed rail where it beats flying on total door-to-door time. Build slack between visits - a schedule that assumes three factories in a day usually delivers two and a rushed third.

Local transport

Intercity high-speed rail is fast, punctual and heavily booked around holidays and fair periods, so seats should be reserved in advance rather than bought on the day. Within cities, pre-arranged vehicles with a briefed driver work better for business programmes than hailing transport ad hoc, particularly when travellers are carrying samples or documentation.

Preparing travellers

Brief travellers before departure on payment methods, connectivity, translation arrangements, business card and meeting etiquette, and the documentation they must carry - visa printout, invitation letter, hotel confirmations and return ticket. A short written pre-departure pack removes most of the friction that otherwise surfaces on arrival.

Where programmes usually go wrong

Booking flights before confirming the fair phase. Leaving visas until the meetings are confirmed. Underestimating intercity travel time. Positioning the hotel by rate rather than by route. And sending a delegation without a coordinator, which turns every small change into a group-wide problem.
